  1.     Recording your name in the company directory.
    •     Press the message button on your phone or dial “1” plus your extension from any phone.
    •     Enter the password when prompted.
    •     Press “4” to enter the Message Center on your phone.
    •     Press “2” to record/change your name in the company directory.
    •     Follow the prompts and record your name.
    •     Press the “#” key and “1” to save your name.
  2. Recording your in Office greeting (not the default greeting)
    • Press the message button on your phone or dial “1” plus your extension from any phone.
    • Enter the password when prompted.
    • Press “4” to enter the Message Center on your phone.
    • Press “3” to manage your greetings.
    • Press”1” to manage your In Office greeting.
      1. Follow the prompt s to record your greeting
      2. Press the “#” key and
        •  “1” to save your greeting
        • “2” to review your greeting
        • “3” to change your greeting
        • “#” to quit without saving.
  3. Changing your voice mail password. (the temporary password = “0000”)
    • Press the message button on your phone or dial “1” plus your extension from any phone.
    • Enter the password when prompted.
    • Press “4” to enter the Message Center on your phone.
    • Press ”5” and follow the prompts (your password must be at least 4 digits long)
      1. You will be prompted to enter your password 2x’s followed by the “#” key each time

 

To check your voice mail from Home call any MHA phone number and dial Dial “1” plus your extension and follow the prompts. 

Eg: For extension 7507 enter  “17507”

 

Message Center Menu

  1. Manage your presence setting
  2. Record your name in the company directory
  3. Greeting messages
    • “0” – default (do not use)
    • “1” – In Office (main greeting)
    • “2” – At A Meeting (working away from office one day)
    • “3” – On Vacation (vacation)
    • “4” – On Business Trip (working away from office multiple day’s)
    • “5” – At Home (sick/out for day)
    • “6” – Away (night time phone goes right to greeting/no ringing)
    • “7” – Busy (usually the same as “In Office” phone goes right to greeting/no ringing)
  4. Set the maximum recording time for messages
  5. Set/change password

 

Recording a Greeting

  1. Choose the greeting to be recorded/changed
    • Press “1” to record a greeting
    • Press “#” to return to the previous menu (if you need to change the greeting to be recorded)
    • Press “*” to listen to the choices again
  2. When recording your greeting use the following message center control keys
    • “#” to end your recording
    • “1” to save your greeting
    • “2” to review your greeting
    • “3” to change your greeting
    • “#” to quit without saving.

 

FAQ - Frequently Asked Phone Questions


 

How do I check my voice mail from home?

  1. Call your site location i.e.
    • Tarrytown 914-345-5900
    • White Plains Clinic 914-345-0700
    • White Plains Community Center and Employment 914-949-1212
    • Mt. Kisco Clinic 914-666-4646
  2. And when the phone answers Dial “1” plus your extension. 

For example: if your extension is 5555 you dial 15555 the phone will then prompt you for your password.  After entering the password, you can use your voice mail as you would from your desk phone.

 

How do I Check my voice mail from an MHA desktop phone? (Three Options)

  1. By dialing “1” and your extension on any phone and following the prompts.
  2. OR If you want to get right to listening to your messages simply press the “messages” button 2x’s.
  3. OR you can scan your messages by pressing the “messages” button once and following the prompt to login into your voice mail box (your extension should already be there, if not enter your extension).
    • Press OK
    • Enter your voice mail password and press OK.
    • Use your phones arrow keys to scroll, thru your messages to easily listen and delete messages.

 

How do I use 3-way conference calling?

  1. Connect to the first person either by
    • having them call you or
    • by first calling them.
  2. Press the [Conf.] button. (the button is directly below your message button)
  3. Select another line (usually Call 2 on most phones) then call the second person.
  4. When you are ready Press the [Conf.] button.
  5. All three callers are now joined to the conference.
  6. The Conference button will be illuminated solid red until the call is over.

 

How do I Get right to leaving a message?

  1. When calling a co-worker you can skip their greeting and go directly to leaving them a message.  Press the “#” key after the greeting starts to play and follow the prompt.
  2. Alternatively if you would like to call a co-worker and just leave them a voice mail message dial “3” and then the extension eg.. 37000 and if you use the tip above and press the # key you can skip the greeting and just leave a message.

 

How do I use the built in Company Directory?

  1. Press the Up/Down Arrows (right hand side of your display screen) to display the company directory and either use the keypad to spell the person’s last name or scroll to the desired name, then press Select (the check mark).

 

How do I Transfer a Call?

  1. Unannounced (Blind)
    • Press the transfer button. The current call will be placed on hold.
    • At the dial tone, dial the extension to where you want to transfer the call or use the Company Directory phone tip and scroll to the person you want to transfer the call to.
    • The call is now transferred, hang up you are done.
  2. Announced (Calling the person before you transfer the call)
    • Press the transfer button. The current call will be placed on hold.
    • Select the unused “CALL” button (lower right buttons CALL 1 or CALL 2).
    • Dial the extension or use the company directory to call the person you are planning on transferring the call to.
    • Talk with the person.
    • Press the transfer button again and the two callers will now be connected, hang up you are done.

 

What is Hot-Desking and How do i use it?

Hot desking allows you to use your assigned extension on any phone on the network.  Calls and messages are redirected to whichever phone you are using.

  1. To Activate
    • Press the button below the “CONFIG” on your phones display.
    • Using the Up/Down Arrows choose "Hot Desk Login"
    • Using your keypad enter the MHA extension and press [OK]
    • On the next screen enter your voicemail passcode and press [OK]
  2. To Deactivate (Interactive)
    • Press the button below the “CONFIG” on your phones display.
    • Using the Up/Down Arrows choose "Hot Desk Logout"
    • Press the button below the “LOGOUT” on your phones display.
  3. To Deactivate (Passive)
    • After 12 hours of inactivity, the phone will automatically revert to the assigned extension.

 

Do we have Speed Dialing?  YES!

  1. To Setup
    • Press the button below the “CONFIG” on your phones display.
    • The “Personal Speed Dial” selection should be highlighted; press Select (check mark key)
    • Using the Up/Down Arrows choose a number to store the speed dial number; then press Select (check mark key)
    • Using your keypad enter the MHA extension or phone number (don’t forget to use a “9” for outside calls) ; then press Select (check mark key)
    • Using the keypad enter a name to associate with the number you entered; then press Select (check mark key)
      1. Note: the # key places a space between characters and the Up/Down Arrows act as a backspace/erase.
      2. Press the number key multiple times until you get the letter you want. (eg.. 3 is DEF, 7 is PQRS)
    • Press the button below EXIT 2x’s; The Press “YES” when you are prompted to “Save to Flash Before Exit”
    • You can setup 10 Personal Speed Dial numbers.
  2. To Use:
    • Pick up your handset, hit the speaker button, or press (Call 1 or Call 2).
    • Press the button below the “SPDIAL” on your display (hint same spot as the CONFIG button)
    • Press the number on the keypad associated with the extension or phone number you want.

 

Can I Pick up a Co-workers Call (Yes but this is only to be used with permission of your co-worker)

 

  1. You can answer another user’s ringing phone from your own handset by dialing 2+ the alternate phone extension.
